Parcel Inventory: Keep One Approved Revision
Use one clearly dated, approved contents list for packing. Separate what was ordered, what arrived and what is selected to ship instead of treating the latest isolated message as a complete inventory update.

Give each row three states
Link every product row to its order reference, then record ordered, received and selected quantities separately. Cancellations or partial arrivals can make them different. Separate sizes and colors when necessary so a piece left out of the parcel can be identified without relying on a clothing total.
Make changes explicit
For an addition or cancellation, name the affected row and its new quantity. Keep a short change record where it helps explain the order. Do not mix a future shopping wish list with the goods currently available for packing, or use a new grand total as the only instruction.
Confirm one approved version
Choose a date and revision identifier, then ask support which list is being used before closure. Avoid contradictory final versions. A change requested after preparation begins needs acknowledgement; editing your own document does not automatically update the packing instructions held by the team.
Check identity as well as count
Review row quantities, product identities and preparation photographs if available before confirming the revision. A total count does not replace contents descriptions, value evidence or required documents. Keep the approved record with the order and limit personal information to what the support process actually needs.
