Give each row a state
After a partial return, distinguish requested, sent to store, accepted for return and ready to ship. Do not assign one state to the whole order. Sending an item back is not confirmation of a refund.
Link the movement
Keep the order reference, item identity, quantity and available handover evidence. If a return is rejected or sent back, update its state again. Absence from an earlier carton does not mean follow-up is finished.
Reconcile quantities
Start with received units and subtract what actually left, keeping unresolved units separate. Do not report a requested but unexecuted return as completed. Do not add a replacement that has not arrived.
Approve the remaining shipment
Review the revised content list, weight and packed dimensions. Approve that new version rather than automatically carrying over the earlier estimate. Return approval alone does not establish an unconfirmed refund amount or date.
